Adding users and assigning RingCentral Video Pro
and Pro+ licenses | RingCentral app

License types

The following licenses are available to our customers: 
  • RingEX: Allows Messaging, Video, and Phone access.
  • Video Pro: Allows Messaging and limited Phone access.
  • Video Pro+: Allows for Message, Video, limited Phone access, and Single Sign on.
License types
If you are an admin and you have a paid RingCentral Video Pro+ account, you will also need to assign each individual user on your company account a RingCentral Video Pro+ license when:
  • you upgrade your RingCentral Video Pro free company account to RingCentral Video Pro+ or
  • a new user is added to the RingCentral Video Pro+ company account.
When new users are added to the RingCentral app, they will begin with a free RingCentral Video Pro account. Once they’ve signed up on RingCentral Video Pro, you will need to assign that user a RingCentral Video Pro+ license.
 
Note: You must be a Super Admin on your company’s RingCentral Video Pro account in order to assign RingCentral Video Pro+ licenses.

Add a user in the Admin Portal

1. Log in to https://service.ringcentral.com as administrator. 
2. Select Users from the top menu bar. 
3. Select User List > Users with Extensions.
4. Click the Add User button at top right.

5. Choose the license you’d like to assign to the user(s) and click Select.
6. Enter in the user(s) information, then click Next.

7. Complete Setup Options:
     a. Send invite: Set up a user by sending a welcome email with an activation link
     b. Activate by assigning credentials: Set up and activate a user by assigning
         credentials. No welcome email will be sent.
     c. Activate later: Set up a user now but activate at a later time. No welcome email or
         notifications will be sent.
8. Choose the user(s) Assigned Role. Click Submit.

Add a user in the RingCentral App

1. Log in to your RingCentral app.
2. Click Company setup on the left-hand navigation bar.
3. Click Manage or Edit on the Users and licenses card.

4. Click Add user at upper right.
5. Fill in the necessary information of the user.
6. Click Save or Save and add another to add another user without exiting the window.

Adding a user with a webmail domain as a co-worker in your company's RingCentral Video Pro+ account 

There may be some instances in which you’d like to invite a user outside of your company with a webmail domain email address (e.g., @gmail.com, @yahoo.com, @hotmail.com) to your RingCentral Video Pro+ account. By default, these users are considered guest users and have limited access to your RingCentral Video Pro+ company account.

If you’re the company admin of your RingCentral Video Pro+ and you would like to give your guest users the same access as your company account users, you can do so within your RingCentral online portal.
1. In the RingCentral app, click your profile picture in the top right corner.
2. Select Manage Account from the dropdown menu.
3. Select Users from the top menu bar.
4. Under User List, select + Add User.

5. Enter the following information:
     a. First name
     b. Last name
     c. Email 
6. Check the Assigned licenses box to assign that user a RingCentral Video Pro+ license.
Click Add User
7. To add more users, enter the Number of users, then click Add More.
8. Check the Do not send the invitation email now box if you don’t wish to send an email
    with an activation link to that user (optional).
9. Click Add.
Note: If you chose to send an invitation upon adding that user, they will receive an email prompt to complete the User Express Setup.
